Thank you for your booking. 

Summary of Booking Terms and Conditions

It is important when you hire the Hall that you have read and understand these terms and conditions, and the additional ones in place during the Covid-19 epidemic.  

 

For full terms and conditions please refer to the Hall Guide. If you’re in any doubt as to the meaning of any part of this document, the Bookings Administrator should be consulted. Tel: 01948 830654

 

Bookings will be invoiced on receipt of a completed Booking Form and must be paid in full no less than 14 days before the event.

 

Bookings made within 14 days of the event must be paid on receipt of invoice.

 

On return of this form a provisional booking is made. The booking cannot be confirmed until payment is received.

Current charges for hire: 

The Hall is available between the hours of 8.30am and 11pm                                                      

The hire of the Hall is £45 for a three-hour session (morning, afternoon or evening) and £85 for all day hire.

 

Cancellations: 

Any payments not received by the due date will cause automatic cancellation of the booking.

 

Should a booking be cancelled by the hirer at any time up to 14 days before the confirmed date, any hire fee already paid will be refunded in full.  For cancellations made by the hirer within the final 14-day period, the trustees reserve the right to charge the full hire cost.

 

Bookings made within 14 days of the event will not be subject to a cancellation refund.

Responsibilities

​

The Hirer:

must be at least 18 years of age

 

  • shall ensure that any activities they are organising have been adequately risk assessed and that those attending are informed of any precautions that have been put in place

 

  • will be responsible for ensuring that all users are aware of the procedures for safe and correct use of the equipment and facilities, reporting any deficiencies or damage to the booking administrator, and will be responsible for the conduct of persons attending a function in the Hall. 

 

  • should ensure that at least one responsible adult is present at all times during the let period to ensure adequate supervision

 

  • shall ensure that nothing is done on the premises in contravention of the law relating to gaming, betting and lotteries and that the premises should not be used for any illegal or immoral purposes, or for any purpose which might offend public taste. 

 

  • must ensure no activity should be carried out which causes offence to other users of the Hall and neighbouring premises.

 

  • must ensure that any entertainer they have in the hall provides a risk assessment for the activities they do

 

  • must leave the Hall in a clean, tidy and safe condition

 

Insurance

​

 It is the responsibility of the Hirer to effect whatever insurance they perceive is necessary to cover their liabilities. The HMC cover does not extend to the Hirers liabilities.

 

The Trustees shall not be responsible for any damage or loss to any property or injury to any person caused prior to, or during the hire period.

 

Fire safety and procedures

​

On arrival, all Hall users should familiarise themselves with the location of fire exits, fire alarm points, fire extinguishers, and with the fire safety instructions posted in the building.  They should also brief those they invite, on fire safety and evacuation procedures. Special attention must be given to the requirements of any people with disabilities. 

 

Conduct within the Hall must avoid fire hazards. No supplementary heaters of any kind are allowed. Electrical sockets must not be overloaded. Stoves etc must be switched off when not in use and kept under observation when in use. The main electricity supply switch is situation above the kitchen door.

 

Candles and naked flames are not allowed. No smoking at all is allowed in the Hall. 

 

First aid emergency

A First Aid kit is available and mounted on the kitchen wall alongside the window

 

As there is no public telephone system to summon assistance, the Hirer will need to make their own arrangements with regard to mobile phones with sufficient signal. The address of the hall is The Community Hall (previously known as The Scout Hut), Horseman’s Green, Whitchurch, Shropshire, SY13 3DY. 

Noise

You are reminded that the Hall is situated in a residential area, and music etc., should be kept to a reasonable level. The hirer shall ensure that the minimum level of noise is made on arrival
